Vacancy: Sales & Administration Assistant

Reporting to: Company Directors

Based in: Remote working & monthly in person meetings (various locations)

Working pattern: Full time (35 hours). Monday – Friday. Days may change during peak trading season. 

The role
In this role you will be part of a growing, hands on retail brand and help to elevate the business through sales, product development and e-ecommerce processes. Its a role that encompasses all aspects of online retail and is a great opportunity for someone who wants to work within a successful and expanding homeware brand. You will provide valuable support to our sales and leadership team while also handling various administrative tasks. The ideal candidate will have exceptional communication skills, a strong attention to detail and the ability to multitask effectively.

Salary: £25k PA

Key responsibilities and duties

  • Assist the sales team in managing customer inquiries and requests, including answering phone calls, responding to emails, and providing product information.
  • Prepare and send sales quotes, invoices, and purchase orders to customers.
  • Coordinate and schedule sales appointments and meetings, ensuring all necessary materials and information are available.
  • Managing UK and US customer database and communications. Maintain accurate and up-to-date customer records in our CRM system.
  • Coordinate with other departments, such as production and shipping to ensure timely delivery of orders.
  • Assisting with website product set up and ongoing maintenance of the lights&lamps product catalogue.
  • Assist in the preparation of sales presentations, reports and proposals.
  • Conduct market research and competitor analysis to identify new business opportunities.
  • Provide general administrative support, including filing documents, organising files, and managing shipping schedules.
  • Assist with travel arrangements and expense reporting for the directors.

    The ideal candidate

    • Higher education degree or equivalent.
    • Minimum 3 years extensive experience in a retail sales support or administration role.
    • A passion for homewares and lighting products.
    • Excellent written and verbal communication skills.
    • Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
    • Proficiency in Microsoft Office Suite, Adobe suite and CRM software.
    • Knowledge of Shopify B2B ecommerce platform preferred but not essential.
    • Ability to work independently, manage workload and collaborate effectively with team members.
    • Attention to detail and accuracy in data entry and record keeping.
    • Strong problem-solving skills and the ability to adapt to changing priorities.
    • Knowledge of retail sales principles and techniques.
    • Knowledge of lighting products and lighting retail beneficial but not essential.
